The instinct is to either skip the reach-out because too much time has passed, or to open with a long apology for the silence. Neither works. Here's what to do instead.

Why it matters

Most people aren't keeping score the way you think they are. An apology puts the focus on your guilt instead of on them, and it makes the message about you. Before you write anything, ask yourself what you actually want them to feel when they read it, not whether they'll reply. Sometimes the message itself is the point, whether or not you hear back.

How it works

This works best as a short batch, not one giant list you never finish. Pick a handful of people, ground each message in one real detail, the last thing you actually know about them, and send. Repeat every so often rather than trying to clear the whole backlog at once.

How to do it

  1. Find who to reach: use the never-contacted or long-ago filters to build a real list instead of guessing who you've gone quiet on — Filter and bulk update.
  2. Check their contact profile for the last thing you actually know: a note, a past conversation, something they once mentioned.
  3. Get a starting point instead of a blank page — Outreach ideas or an AI draft from Whiz, grounded in what you actually know about them, not invented details.
  4. Skip the apology entirely. Open with the thing you remember, not "sorry it's been so long."
  5. Send five today. Not fifty. A short, real batch you actually send beats one huge list you never finish.
