CRM Data Hygiene: How to Keep Your Contact Database Clean

A CRM with outdated, duplicate, or incomplete data is actively harmful. It gives you false confidence that you are managing your relationships when you are actually managing a mess. Data hygiene is not glamorous, but it is essential.

Common Data Problems

  • Duplicates โ€” The same person entered two or three times with slightly different names or email addresses.
  • Outdated information โ€” Job titles, companies, phone numbers, and email addresses that have not been updated in years.
  • Incomplete records โ€” Contacts with a name and nothing else. No context, no notes, no category.
  • Orphaned contacts โ€” People you cannot remember adding and have no relationship with.

The Maintenance Routine

Rather than a massive annual cleanup, maintain data quality with small, consistent habits:

  • Verify on contact. Every time you interact with a contact, glance at their profile. Is the information current? If not, update it in the moment.
  • Monthly dedup. Spend 10 minutes per month scanning for obvious duplicates. Most CRMs have built-in dedup tools.
  • Quarterly review. Once a quarter, review contacts you have not interacted with in over a year. Are they still relevant? Archive the ones that are not.

Prevention

The best data hygiene strategy is prevention. Enter contacts correctly the first time: full name, accurate email, company, and a note about how you met. A CRM that enriches contact data automatically โ€” pulling in job titles, company information, and social profiles โ€” reduces the manual data entry that creates errors.
