How to Switch CRMs Without Losing Your Data (Or Your Mind)

CRM migration does not have to be painful. Here is a step-by-step guide to switching tools without data loss.

The fear of CRM migration keeps many professionals stuck with tools that do not serve them. The prospect of exporting contacts, mapping fields, and re-entering data feels overwhelming. In practice, a well-planned migration takes a few hours, not a few weeks.

Step 1: Export Everything

Before touching the new CRM, export your data from the old one. Every CRM offers CSV export. Export contacts, notes, tags, and any custom fields you use. Save this file โ€” it is your backup.

Step 2: Clean Before You Import

Migration is the perfect time to clean your database. Remove duplicates, delete contacts you no longer need, and update outdated information. Importing clean data into a new CRM is dramatically easier than cleaning data after the fact.

Step 3: Map Your Fields

Different CRMs use different field names. Your old CRM's "Company" field might map to the new CRM's "Organization" field. Before importing, make sure you understand how fields map between systems. Most modern CRMs have import wizards that handle common mappings automatically.

Step 4: Import and Verify

Import your cleaned CSV file. Spot-check 20 to 30 contacts to verify that data landed in the right fields. Check that notes, tags, and custom fields transferred correctly.

Step 5: Rebuild Your Organization

Your contact groups, tags, and follow-up cadences may need to be recreated in the new system. This is actually an opportunity โ€” you can organize your contacts based on how you work now, not how you worked when you set up the old CRM years ago.
